winlink through a local RMS gateway — am i doing this right or just getting lucky

so ive been messing around with winlink for a few weeks now and i think i have it working but honestly im not 100% sure i set things up correctly or if its just kind of working by accident

my setup is an IC-7300 running into Winlink Express on the PC, using VARA HF for the modem side. i can connect to a couple of the regional RMS gateways no problem and messages are going out and coming in fine so thats good i guess. but im confused about a few things.

first — when i look at the gateway list in Winlink Express it shows a bunch of gateways sorted by distance but sometimes the closest one just wont connect even though the signal should be fine. im guessing its propagation but should i be trying multiple gateways in sequence or just wait and retry the closest one

second thing is message handling. i sent a test message to my regular email and it showed up, but then i tried to reply from my phone back to my winlink address and it bounced. does the reply-to work differently than i think it does or did i fat finger something in the address format

running 100w into a dipole up about 35 feet if that matters. 40 meters mostly

yeah the gateway thing is totally normal, closest isnt always best especially on HF. propagation is everything and a gateway thats 300 miles away might just be hitting a better path to you than the one 80 miles out. Winlink Express does have that auto-connect feature where it'll try a few in the list if the first one fails, worth enabling that if you havent already. i usually just let it scan through 4 or 5 and it finds something workable most of the time.

on the email reply issue — your winlink address should be [email protected] and replies to that from regular email do work but theres sometimes a delay and occasionally they get filtered depending on the sending mail server. did the bounce message give you any detail? if it was a hard bounce thats different than a soft one. also double check theres no space or weird character in the address because ive seen that trip people up more than once. the system itself isnt that fragile once its set up right.

the bounced reply thing happened to me too when i first set it up, turned out i had the address slightly wrong — i was using my callsign lowercase and i think there was a dot somewhere that shouldnt have been there. once i fixed it worked fine. also worth checking the winlink.org website directly, you can log in there and see if messages are actually hitting your account or getting dropped before that

btw totally off topic but are you using VARA FM or just VARA HF? i ask because if you have a local gateway on VHF that might be way more reliable for just checking email stuff day to day, saves the HF hassle. i use 40m for when im away from home but locally its all 2m VARA FM and it connects in like 20 seconds usually
