Winlink setup - RMS gateway confusion, am i doing this wrong

so ive been trying to get Winlink going for a few weeks now and i think im close but something isnt clicking. Running Vara HF on a IC-7300 connected to a windows 10 laptop, got the audio levels sorted out (took forever btw) and i can see the waterfall activity when i tune around the Winlink frequencies. The problem is when i try to connect to an RMS gateway it just times out. Like i can see the CMS list in Winlink Express, i pick a gateway thats supposedly nearby and hit connect and it just sits there.

I think im misunderstanding how the RMS gateways actually work. Is the gateway just a relay station that someone is running on their end, and it has to actually be active at that moment? Or is it more like a server thats always up? I assumed they were always listening but maybe not. Also do i need to do anything special with the message routing or does Winlink handle all that automatically once youre connected to any gateway?

The other thing thats confusing me is the difference between a telnet connection and an RF connection in the software. I tested with telnet and got messages through fine so i know my account is set up right, its just the RF side thats not working. Any ideas would be appreciated, been poking at this for a while now.

yeah the RMS gateways are stations that hams are running, they arent always on. some are pretty reliable and run 24/7 but others go up and down depending on whether the operator has their station running. the list in Winlink Express shows gateways that have checked in recently but recently could mean like the last hour or so, so they might not be active right this second.

the bigger issue is probably propagation tbh. on HF you need to actually be able to reach the gateway and a lot of beginners pick a gateway thats geographically close but the band conditions dont support that path at that moment. try sorting by different bands and look for gateways on 40m in the evening or 20m during the day and see if that helps. also make sure your VARA modem settings match - the dial frequency and the audio routing through the 7300 USB interface needs to be set up correctly or youll transmit on the wrong spot. if you connected via telnet fine then yeah your account is definitely good, its gotta be the RF side.

One thing that tripped me up when I first got Winlink going on my 7300 -- the CI-V address and the CAT control settings. If Winlink Express is trying to do PTT via CAT and the CI-V address doesnt match what the radio expects, it can look like its trying to connect but nothing actually transmits. Worth checking the radio control settings in Vara and making sure youre actually keying up. You can tell by watching the TX light on the 7300 or just monitoring the ALC meter.

Also the channel selection tool built into Winlink Express is actually pretty useful, it uses propagation prediction to suggest which gateway and frequency to try based on your location and time of day. Might be worth running that instead of just picking manually from the list.
