Winlink setup driving me crazy - RMS gateway keeps dropping sessions

so ive been trying to get Winlink working for the past couple weeks and im honestly at my wits end. the basic concept makes sense to me, you connect to an RMS gateway either through packet on VHF or through pactor/vara on HF and the gateway relays your email through the CMS servers. i get that part. what i dont get is why my sessions keep timing out before the message actually transfers.

im using VARA FM on 2m right now because i dont have an HF rig that plays nice with the signalink setup yet. the gateway im hitting is maybe 40 miles away, i can usually hear it fine on 144.990, the connection handshake happens, it shows connecting and then like 30 seconds in it just drops. tried adjusting the VARA bandwidth settings, tried tweaking the audio levels, nothing seems to stick. running Winlink Express on windows 10 if that matters. is there something obvious im missing in the channel setup or the RMS configuration on my end

the audio level thing is almost always the culprit with VARA, people set it too hot thinking more is better and it just destroys the signal. in Winlink Express go to settings and open the VARA FM modem configuration, theres a sound card tab and you want your transmit audio level set so the ALC on your radio is barely moving if at all. a lot of folks aim for like 50-60% in the VARA audio slider and leave it there. overdrive on FM is particularly nasty because the gateway on the other end has to decode that mess.

also 40 miles on VARA FM is doable but you're kinda pushing it depending on terrain. have you tried looking in the RMS list for something closer? the gateway map in Winlink Express shows whats around you and you can sort by distance. sometimes theres a closer node somebody set up that isnt well advertised.

had almost this exact problem last year. for me it turned out to be the PTT timing -- VARA was keying up but my radio needed a little more delay before it actually started transmitting clean audio. there's a setting in the VARA modem config for PTT delay, i bumped mine up to like 150ms and sessions stopped dropping immediately. might be worth a shot before you go chasing audio levels, though honestly doing both at the same time probably makes sense
