Winlink setup - RMS gateway not connecting, what am I missing

So ive been trying to get Winlink going for about two weeks now and im pretty close i think but cant get the RMS gateway connection to actually complete. Running Winlink Express on a windows 10 box, have a SignaLink USB hooked up to my IC-7300, and i can see the VHF gateway about 12 miles from me in the gateway list. Its showing good activity in the last few hours so its definitely up.

When i try to connect via packet (144.990 around here) the session starts, i can see the AX.25 frames going out, radio is definitely transmitting because i can see the power output, but then it just times out after a few tries. Done the soundcard calibration in the Vara FM setup, levels look okay to me. Not sure if its a path issue or something with how i have the TNC configured in the software. The RMS gateway list shows the sysop callsign and all that so i know where im pointing.

Anyone been through this before with a similar setup? Im starting to wonder if the issue is on my end or if maybe the gateway is having problems it just isnt reflecting in the activity timestamp.

Few things to check - first make sure you're actually running VARA FM and not the regular VARA HF modem, they're separate installs and i've seen people mix them up. Also the audio levels thing is really important, the soundcard calibration tool in Winlink Express will tell you if you're overdriving it but even if it says okay sometimes the actual TX audio into the radio is too hot and it's just splattering everywhere. Try turning the SignaLink TX knob down a fair bit and see if anything changes.

Also worth checking - some gateways are running Winlink but with specific timeout settings, and if your path is marginal and frames are getting through but with errors it'll just spin. Do you have any way to hear if the gateway is actually responding at all, like can you put a second radio on the frequency to monitor? Sometimes the gateway acks but your RX audio is off so Winlink Express never sees it.

yeah the IC-7300 with SignaLink can be a little fussy. make sure you're going into the radio's USB audio and have DATA mode selected on the 7300 side, not SSB or anything else. theres a menu setting in the 7300 for the USB input/output levels too and if those are wrong your calibration in software means nothing because the radio is already clipping before the modem even sees it. i think its under set > connectors somewhere, been a while since i dug in there.

also 144.990 seems a little off to me, most of the VHF winlink traffic i've seen is on 144.990 simplex yeah but double check the gateway entry in the RMS list because some areas run it on different freqs. the gateway being active recently doesnt necessarily mean its perfectly healthy, had one near me that was showing activity but the sysop's pi had some kind of filesystem issue and it was only partially working for like a week before anyone caught it.
