finally getting into Winlink but confused about RMS gateways and how the whole thing actually works

so ive been trying to get Winlink set up for a few weeks now and i think i understand the basic concept — email over radio — but im getting confused about the gateway side of things. like i get that you need a client (Winlink Express) and i have that running, but when i try to connect to a nearby RMS gateway i keep getting either a busy signal or it just times out. not sure if im doing something wrong on my end or if the gateways in my area are just slammed all the time.

im running a Kenwood TS-590SG into a SignaLink USB, using Vara HF for the modem. the frequency im trying is one i pulled off the RMS list for my region but honestly i dont fully understand how to pick the right one or whether i should be trying multiple. also the whole hybrid network thing where it routes through the internet if needed — does that mean the gateway has to have an internet connection itself or is that handled somewhere else in the chain?

any help appreciated, been at this for a while and feeling a bit lost

the timeout thing is almost certainly a propagation or dial frequency issue, especially on HF. the RMS list shows nominal frequencies but conditions change throughout the day. if you're seeing the gateway listed as active but still timing out, try checking the Winlink map (winlink.org has a live gateway map) and look at the last heard time for that station — if it hasnt had a connection in a few hours during daytime, maybe that path just isnt working right now.

for the hybrid network question — yeah the gateway itself needs an internet connection to relay your message to the Winlink CMS servers. thats the whole point of the RMS (Radio Message Server), it's basically a bridge. the radio leg is just your last mile. so if you're hitting an RMS that has spotty internet on their end, messages can queue up or fail silently. Vara HF is the right call though, way better than Pactor for most people without a hardware TNC. make sure your audio levels are dialed in tight, the SignaLink is sensitive to drive level and if you're clipping you'll just get garbage on the other end even if the connection appears to start.

went through basically the same thing last year. one thing that helped me a lot was just trying Telnet mode first — like, connect over the internet just to verify your setup and make sure messages are actually flowing through your account before you throw the radio path into the mix. once i knew the client side was working right i felt a lot more confident debugging the RF connection separately. also VARA HF has a waterfall display, keep an eye on what youre seeing when you try to connect, sometimes you can see another station already using that freq which explains the busy signal
