when do you actually spell things out vs just say them normally

ok so ive been licensed for about 8 months now and i still feel kind of awkward about this. like i know the NATO phonetics, alpha bravo charlie etc, but i never really know when youre supposed to use them vs just talking normally. like if someone asks my name do i say my actual name or spell it out phonetically? and what about the callsign, do you always phonetically spell every single callsign every single time you transmit or just sometimes

i asked a guy at my club and he kind of shrugged and said just do what feels right which wasnt super helpful. i hear some people on 40m doing it one way and then other people doing it completely different so im genuinely confused about what the actual convention is

so basically the callsign thing — yeah you should be phonetically spelling it out pretty much every time you ID, especially on HF where conditions can be rough and people mishear stuff constantly. on a local repeater where everyone knows you and the signal is full quieting you can get away with just saying it normally but even then a lot of people still do phonetics just out of habit

for names and stuff it depends. if your name is something like Bob or Jim nobody needs you to spell it out. but if youve got an unusual name or youre in a pileup situation where clarity really matters, phonetics just make sense. i usually say my name normal first and then if theres any confusion or someone asks me to repeat ill go phonetic. the main thing is just making sure the other station actually copied what you said, however you get there

yeah the callsign thing tripped me up too when i started. i think the general vibe is phonetics whenever theres any doubt the other person will hear it clearly, which on HF is honestly most of the time. ive heard guys on 20m just rattling off their call like its nothing and half the time the other station asks for a repeat anyway so whats the point lol
