Winlink setup -- cant get RMS gateway to connect, keeps timing out

so ive been trying to get Winlink Express working for about two weeks now and im starting to lose my mind a little. background: i have a Kenwood TS-590SG hooked up through a Signalink USB, been using it for PSK31 and FT8 without issues so the audio interface side of things seems fine. decided i wanted to get into Winlink for served agency stuff and our ARES group wants everyone to be able to send traffic via radio email.

the problem is whenever i try to connect to a Vara HF session it either times out immediately or i get a partial handshake and then it drops. ive been using the RMS gateway list and picking ones that are within reasonable range, signal reports look okay on the waterfall, i can see the Vara tones but the connection just dies. tried both Vara FM and Vara HF with the same results. soundcard levels seem okay, not peaking, PTT is triggering fine through the Signalink.

is there something obvious im missing with the RMS side of things? do i need to register the gateway or something before it'll accept my calls? or is this more likely a timing/baud rate thing with Vara. any help appreciated, been digging through the Winlink wiki and honestly some of it is out of date i think

few things to check -- first, make sure your Vara HF is actually registered if you're trying to use anything above the free speed tier, but even unregistered Vara should connect for basic stuff so that probably isnt it. the timeout issue sounds more like your audio levels or the ALC on the 590 is pumping. Kenwood rigs can be a little touchy with the Signalink, the TX level on the Signalink itself needs to be dialed way back, like sometimes embarrassingly low, otherwise you're overdriving the front end and the modulation comes out garbage even if it doesnt look clipped on the meter. also double check that you have the 590's DATA mode set correctly -- you want to be in USB-D or DATA mode not just regular USB, otherwise the mic EQ processing might be messing with your tones.

the other thing i'd do is just try Telnet first in Winlink Express just to confirm your account is set up and the software itself is working before blaming the RF path. if Telnet connects fine then you know the issue is definitely on the radio/audio chain side and not some account or config problem.

went through almost exactly this same thing last year. what finally fixed it for me was realizing the RMS gateways i was picking were just... not that active. some of them show up in the list but they havent had a successful session in days. there's a gateway status page on the Winlink website where you can actually see recent activity and when a station last had a connection, worth checking that before you spend an hour trying to dial into something that might be offline or just in a bad location relative to you. also VARA HF vs VARA FM matters a lot -- if you're trying to hit a local gateway on VHF you need VARA FM and a different port config, they're not interchangeable. that tripped me up for a while too.
