so ive been trying to get Winlink going for a few weeks now and i think im close but something isnt clicking. running Winlink Express on a windows 10 laptop, got a Signalink USB hooked to an old IC-718, and im trying to connect through one of the RMS gateways i can see in the map. my question is about how the whole thing actually works because i feel like i have a conceptual gap somewhere.

from what i understand the RMS gateway is basically another ham station running software that bridges my radio connection to the internet and then out to the Winlink CMS servers, right? so when i send an email it goes radio to gateway to CMS to the internet. but im confused about a few things - when i look at the gateway list in Winlink Express and i see a gateway with a good signal report, does that mean its actively listening or could it be offline? i tried connecting to W3XYZ-10 (made up callsign) on 14.110 the other day and just got nothing back, no connect, nothing in the event log except a timeout.

also do i need to have my message session set to Vara HF vs Winmor vs Pactor to match what the gateway is advertising? i dont have a Pactor modem so thats out but i downloaded VARA and i think i have it set up, just not 100% sure the audio levels are right. the Signalink is new to me, been using it for FT8 which works fine so at least i know the basic audio path is functional.

any pointers appreciated, been lurking this forum for a while and you guys seem to know your stuff

yeah the conceptual part you described is basically right - radio to RMS to CMS, and CMS is where your messages actually live until you or whoever youre sending to picks them up. the gateway does need to be online and actively running to respond, and the map in Winlink Express can lag behind a bit on showing which ones are actually active. theres a last heard timestamp if you dig into the gateway properties, i usually look for anything that checked in within the last hour or two before i bother trying.

the mode thing is important and you got that right to ask about it. you absolutely need to match the mode - if the gateway is advertising VARA HF you need to be in a VARA HF session in Express, not Winmor. VARA HF is what most people run now since Winmor got deprecated essentially. the calibration on the Signalink matters a lot for VARA, theres a built in calibration tool in the VARA software, run that first with the IC-718 in USB mode and get your drive level set so youre not overdriving. too much audio and youll just get garbage back or no decode at all. the FT8 levels might actually be close but VARA is a little more picky in my experience.

one other thing - check your frequency offset. 14.110 is a common Winlink frequency but the gateway might be on 14.110.00 center and you need to make sure your dial frequency and the offset in VARA are lining up correctly. the software should handle this but worth double checking.

just to add to what the other guy said - when i was first getting this going i wasted probably three evenings because i had VARA set up as VARA FM instead of VARA HF, total facepalm moment. they show up as different session types in Express and the names are close enough to miss if youre clicking around fast. also 14 mhz during the day can be hit or miss depending on your location and where the gateway is, i usually have better luck on 40m for regional stuff. theres usually a few RMS gateways in most areas on 7.xxx that are pretty reliable.
