Winlink setup - RMS gateway confusion, am i doing this wrong

so ive been trying to get Winlink going for a few weeks now and im pretty sure i have most of it figured out but the gateway stuff is where i keep getting tripped up. i set up Winlink Express on my laptop, got it connected to my IC-7300 through a SignaLink and the audio levels seem fine based on what i read, but when i try to connect to an RMS gateway i either get no response or it times out after like 30 seconds.

i ran a scan and there are maybe 3 or 4 gateways showing up within range, tried W4XX-10 and a couple others. the frequency looks right in the session settings. im using Vara HF which i paid for the full license so its not the demo version throttling me.

my question is basically - does the gateway have to be actively listening at that exact moment or is it always up? and also do i need to set anything special on my end for the outgoing message to route properly once i do connect? ive been assuming it works like a store and forward thing but ive gotten conflicting info on that.

running an 80m dipole, tried on 40m and 20m both. not sure if my signal is just weak or if theres a configuration thing im missing. any help appreciated, been at this longer than i want to admit

yeah the RMS gateways are basically always up as long as the station running them hasnt taken it offline for maintenance or something, they dont have specific listening schedules like a net would. so that part you probably dont need to worry about. the timeout thing is almost certainly a VAC or audio routing issue in my experience - even with a SignaLink you can get into trouble if the Vara modem isnt actually hearing your TX audio correctly. check that the Vara waterfall is actually showing your signal when you key up, because sometimes people think theyre transmitting and the modem isnt seeing anything.

on the store and forward question - yes thats exactly how it works. you connect to the RMS, it handles the handshake, grabs your outbound messages, and then that gateway relays them through the Winlink internet connected nodes to wherever theyre going. you dont stay connected the whole time. once you disconnect your messages are already in the system headed to their destination. the only weird part is when youre sending to another ham via Winlink, their callsign at winlink.org address has to actually exist or itll bounce back to you later.

I went through something similar last year. For me the issue ended up being PTT - the SignaLink was keying my radio fine for regular digital modes but Vara HF has its own PTT timing settings and mine were off enough that by the time my rig was actually transmitting the gateway had already given up waiting. There's a setting in Vara for PTT lead-in time, worth messing with that if you havent already.

Also on 40m propagation can be weird depending on time of day and if the gateways youre trying are only like 200 miles away you might actually be in the skip zone and they cant hear you at all even if your signal is totally fine everywhere else. I started just checking the Winlink web map to see which gateways have had recent activity and picking ones that are more likely to work based on distance and band.
