Winlink setup confusion - RMS gateway vs Telnet, which am I actually using

okay so ive been trying to get Winlink Express working for actual over-the-air stuff and i think i've been doing it wrong this whole time. been connecting via Telnet which i now realize is just internet, not radio at all. my goal is to be able to send and receive email when theres no internet, like for actual emergency use or just to say i did it honestly.

i have a Yaesu FT-991A and a Signalink USB. been running VARA FM on 2m to hit a local RMS gateway i found on the map. got Winlink Express pointed at the right frequency and it seems like it connects, makes those weird warbling sounds, but then it just sits there and eventually times out. not sure if the issue is my audio levels, the gateway is down, or im doing something fundamentally wrong in the software config.

also not totally clear on how the message routing works once a gateway receives it. does the gateway operator have to do anything or does it just go through automatically to the internet and then to the recipients email? and if the recipient isnt a ham, can they still get the message?

yeah Telnet catches a lot of people off guard, its fine for testing message composition and workflow but youre right it's just going over regular internet. for real radio operation you want VARA FM on VHF or VARA HF if youre doing shortwave.

on the audio levels - thats almost certainly your issue if you're connecting but then timing out. with the Signalink you want to start with the TX knob maybe at 9 o'clock and tune from there. too hot and VARA FM just falls apart, the waveform clips and the gateway cant decode you even though youre technically transmitting. pull up the VARA FM modem window and watch the signal meter on receive first, make sure you can actually hear the gateway beacon coming in clean. if the RX is solid then start messing with TX levels carefully.

as for routing - no, the gateway operator doesnt have to do anything manually. once the RMS gateway receives your message it automatically forwards it through the Winlink network to the CMS (common message server) and from there it goes out as regular email. non-hams can absolutely receive messages, they just reply to a winlink.org address. the ham on the radio end picks up the reply next time they connect to any gateway. the whole thing is pretty slick once its working, which i know isnt helpful when youre stuck at this stage but just saying its worth pushing through.

one thing that tripped me up for ages - make sure the gateway you're trying to hit is actually on VHF and not VHF packet (1200 baud AX.25). they both show up on the RMS gateway map and if you're running VARA FM pointed at a node thats expecting packet you'll never connect. filter the map by VARA FM specifically and double check the frequency listed matches what you have dialed in, some of those entries are slightly out of date too so if one doesnt work try the next nearest one.
