Winlink setup driving me crazy - RMS gateway stuff

so ive been trying to get Winlink working for maybe three weeks now and i keep running into stuff that nobody seems to explain clearly in the documentation. im running Winlink Express on a windows 10 box connected to an IC-7300 with a signalink USB, been doing FT8 with this setup for a year so i know the audio chain works fine.

my problem is i dont fully understand how the RMS gateway selection works. like when i open the channel selector it shows me a bunch of gateways sorted by distance i guess, but i tried connecting to a couple of them on 40m and kept getting nothing. does the software automatically try to find a clear freq or do i have to tune that manually before connecting. also whats the deal with Winmor vs VARA - i see people saying VARA is way better but the free version of VARA is throttled or something? just want to send and receive basic emails for ARES stuff, nothing fancy.

sorry if this is basic stuff, just cant find a straight answer anywhere and the winlink.org documentation reads like it was written for people who already know how to do it

yeah VARA vs Winmor is a common confusion point. short version: ditch Winmor entirely if you can, it's basically deprecated at this point and VARA HF is way more robust. the free version of VARA HF does limit your speed to like 300 bps which is slow but honestly still usable for plain text email which is all you need for ARES traffic most of the time. the paid license is like $69 or somewhere around there and it unlocks the full speed, worth it if you're doing this regularly.

as for the gateway selection - you do have to manually tune your radio to the listed frequency for whichever RMS you're trying to hit. the software doesn't do that for you unless you have CAT control set up properly in the Express settings. with the 7300 you should be able to get CAT working over USB, just make sure you're not running two programs that both want to talk to the rig at once. once CAT is working the software will QSY the radio automatically when you initiate a connection session. the channel selector distance thing is straight-line distance to the gateway, not signal path quality, so closer doesn't always mean better - i usually look at what's actually getting spots on the Winlink map before i try connecting.

one thing that tripped me up when i first set this up - make sure your audio levels are right because Winlink is way more picky about that than FT8 is. i had my signalink turned up too hot and was getting all kinds of weird partial connects where it would start a session and then just drop. turned the drive knob down until the ALC on the radio was barely moving and everything started working much better. also check that youre in USB-D mode on the 7300 not regular USB, makes a difference with how the audio routing works on that radio.
