Winlink setup giving me grief - RMS gateway not connecting

so ive been trying to get Winlink Express working for the past few weekends and im losing my mind a little bit. background: im running a Icom IC-7300 connected to a windows 10 laptop via USB, using VARA HF as my modem. i can see the waterfall fine in VARA, levels look okay, ive got the audio routing set up through the virtual sound card thing and it seems like it registers my transmissions because i can see the ALC moving when it keys up.

the problem is it just never handshakes with the RMS gateway. i pick one from the list thats relatively close, like 200-300 miles, good path angle, not a particularly busy hour, and i just get the session timer counting up and then it gives me a failed connection. ive tried like four different gateways at this point. i did get ONE successful connection like two weeks ago which got my hopes up but it hasnt worked since.

anyone dealt with this? im not sure if its a VARA config thing, a frequency offset issue, maybe something with my audio levels, or what. i did update VARA to the latest version last week thinking that might help but no dice. also not sure if i need to register the callsign somewhere beyond just putting it in Winlink Express or if theres some other step im missing

few things to check - first, the audio drive levels in VARA matter a lot more than people expect. you want to be hitting around 3000hz bandwidth on that waterfall, not too wide, not too narrow. if your signal is overdriven you'll just splatter and nobody will decode you cleanly. the ALC moving isnt necessarily a red flag but you dont want it pinning.

also the callsign registration thing - you do need to have your call in the Winlink system before anything works right. go to winlink.org and just make sure your account exists, should be a simple registration there. but honestly if you got one connection before thats probably not the issue since it clearly worked once.

my gut says its a frequency offset or maybe youre picking gateways that look close on the map but have a bad path. try using the channel selector in Winlink Express and let it automatically suggest based on propagation instead of just manually picking one. also check that your IC-7300 is in USB-D mode not just USB, makes a difference with how the audio routing handles things on that radio.

had the exact same problem when i first set this up, drove me nuts for like a month. turned out my system clock was off by like 4 minutes and VARA was rejecting the handshake because of it. sounds stupid but time sync matters for the protocol. just make sure windows time is set to sync automatically and actually trigger a sync before you try connecting. fixed it for me instantly.
