Winlink setup - RMS gateway confusion, what am I missing

so ive been trying to get Winlink Express working for probably two weeks now and im just going in circles. i got the software installed fine and i can see gateways in the session list but when i actually try to connect i get nothing, or sometimes it starts and then just drops. running a Signalink USB into my IC-7300 and using vara HF for the mode.

what i dont understand is whether im supposed to be connecting to the nearest RMS gateway geographically or just whatever shows the best path. the propagation map in the software is honestly not making a ton of sense to me. also not sure if my dial frequency is off - i set it to whatever the gateway listing says but maybe the offset is wrong? i read something about making sure your soundcard levels arent too hot but i have no idea what level vara actually wants to see coming in.

this is mostly for emcomm purposes, our served agency wants everyone able to send and receive Winlink messages as a backup to our normal nets. any help appreciated, been searching for a while and getting contradictory info depending on how old the post is

the dial frequency thing trips up a lot of people. the frequency listed in the gateway table IS the dial frequency, you set your radio to that exact freq in USB mode and let vara handle the rest. dont touch clarifier or any RIT. one thing that bites people with the 7300 specifically - make sure you have the USB send/receive levels set up correctly in the radio's menu, there's a specific CI-V address thing and the acc gain can be way off by default.

for vara levels you basically want the waterfall to show the signal without it going red, and the ALC on your radio should barely be moving if at all. if ALC is pumping you're overdriving it and you'll get garbage throughput even if it looks like it connected. also try a closer gateway first just to confirm it works at all before you start worrying about propagation paths, sometimes the gateway list shows stations that are technically online but have a bad path to you

yeah what he said on the ALC, that was my problem too when i first set mine up. also worth checking - is your IC-7300 set to USB-D or just USB? it matters for how the radio handles the audio routing, some guys have had issues when it wasnt in the data mode. i just use USB-D for all my digital stuff now and havent had that problem since.

the gateway selection honestly i just sort by distance and try the top two or three, if none of them work during the day i'll try VHF Winlink through a local RMS node instead. way more reliable for local stuff anyway and you dont have to fight HF propagation
