finally getting winlink working but the RMS gateway stuff is confusing me

so ive been trying to get winlink set up for a while now and i think im close but the gateway side is still kind of murky to me. i get the basic concept, you connect through an RMS gateway which then forwards your message over the internet to the winlink.org servers and it ends up in the recipients inbox. fine. but what im not clear on is whether im supposed to be picking the gateway manually every time or if the software just finds one automatically.

im running Winlink Express on windows and using a Signalink USB into my IC-7300, mostly on HF, trying to do vara HF mode. i can see the gateway list in the software and i sorted it by distance but some of those are like 400+ miles out and im not sure if thats normal or if my antenna situation is working against me (just a end fed halfwave up about 30 feet). also not totally sure about the difference between a hybrid and a full gateway, the docs kinda gloss over that part.

anyway if anyone has gone through this setup recently and can shed some light on the workflow i'd appreciate it. mainly just trying to have a backup comms option and maybe help out with emcomm stuff locally.

yeah the gateway selection thing trips a lot of people up at first. Winlink Express will actually scan and find available gateways automatically when you hit the update button in the channel selection window — you dont have to pick one manually every time, though you can if you want to force it. the list sorted by distance is just a starting point, doesnt mean those are the ones actually hearing you right now. propagation matters way more than distance on HF.

the hybrid vs full RMS thing — basically a hybrid gateway is one that has both RF and internet connectivity and does the store-and-forward itself, while a full peer-to-peer setup is a bit different. for most people just trying to send and receive messages through the winlink system a hybrid gateway is exactly what you want and thats what most of the public ones are. dont overthink that part.

VARA HF is the right call over WINMOR or Pactor if you dont have a hardware TNC, the performance is pretty decent. with an endfed at 30 feet youll probably be hitting stuff within a few hundred miles fine on 40m, maybe further on 20m depending on time of day. just let the auto-scan run, pick a gateway showing good signal and low traffic, and give it a try. first successful connection it all kind of clicks.

i went through basically the same thing last year. one thing that got me was i had the IC-7300 USB audio levels set wrong and VARA was connecting but then dropping before the session completed, took me forever to figure out it was just a mic gain issue in the windows sound settings. worth double checking that if you start getting partial connections.
