so ive been messing with Winlink Express for a couple weeks now and i think i finally understand the basics but the RMS gateway part is still confusing me a bit. like i get that the gateway is basically the middleman between my radio and the internet side of Winlink, but when i pull up the gateway list in the software it shows like 50 gateways within range and i have no idea how to pick the best one. do i just go by distance or does the frequency matter more? some of them show as busy or restricted and i dont really know what that means in practice.

also i set up a session last night on 2m packet through a local gateway and the message went through fine but when i tried HF winlink on 40m using VARA HF it just kept timing out. not sure if thats a propagation thing or if im doing something wrong with the VARA modem settings. my sound card levels looked okay but maybe not? running an IC-7300 into the RigPi and the CAT control seems fine because i can see it keying the radio, just the session never completes.

one more thing — for message handling, is there a standard way people organize their outbox for emcomm stuff? like do most groups use standard ICS forms through the Winlink form templates or does everyone just kind of do their own thing

for the gateway selection thing — distance isnt the only factor, youre right to be suspicious of that. the channel quality indicator is what you really want to look at if youre using VARA. a gateway thats 200 miles away with a good path on 40m will outperform a closer one thats on a noisy frequency or running an older modem firmware. the busy/restricted status just means either somebodys actively using it or the sysop has set it to only allow certain callsigns, usually during exercises or testing. just skip those and try the next one on the list.

on your VARA timeout issue — first thing id check is whether VARA HF is actually set to the right audio device. i went crazy for two days once because my system had three audio interfaces and VARA was sending audio to the wrong one entirely. the radio was keying but no actual signal was going out. also check your VARA bandwidth setting, some gateways dont support 2300hz wide so try dropping to 500 or even narrow mode and see if you can complete a handshake at all.

the ICS forms question — yeah most serious emcomm groups standardize on those, the Winlink standard templates are actually pretty solid and they translate well when you need to pass structured traffic. your ARES or RACES group probably has a preferred subset of them, worth asking your EC what they actually want to see in a deployment situation rather than guessing.

the 7300 into RigPi combo can be a little finicky with VARA from what ive seen, not saying thats definitely your problem but the USB audio on that radio sometimes needs the sample rate locked at 48k explicitly otherwise VARA gets weird. worth double checking that in windows sound settings if youre on windows, not sure how RigPi handles it on their end actually.

also just a thought — have you tried Winlink Hybrid mode? basically lets you go through a telnet connection to test if your message formatting and everything is working right before you blame the RF path. if it works over telnet then you know its a radio/modem issue not a software config thing
