okay so ive been licensed about 8 months now and i keep seeing people talk about QSL cards and then also LoTW and eQSL and i honestly am not sure what the difference is or which one i need to actually use. like do i need all three? does it depend on what award im going for or what?

i made my first real DX contact last week, worked a station in Japan on 20m which i was really happy about, and the guy said he'd QSL via bureau. i have no idea what that means. i looked it up and now im even more confused because apparently there's a bureau system AND you can just mail cards directly AND there's the electronic options and i feel like im missing something obvious that everyone else just already knows.

also does LoTW cost money? i saw something about a fee when i was trying to sign up and i got nervous and closed the tab lol. just want to understand the whole system before i start uploading logs or whatever

Ha, don't worry you're definitely not alone in being confused by all this at first, it took me a while to sort it out too. So here's the basic deal — LoTW (Logbook of the World) is run by the ARRL and it's the one that counts for the big awards like DXCC. It's free to use but you do need to get a certificate from them first which is a little bit of a process, they mail you a postcard to verify your address and then you download the certificate file. Worth doing though because a lot of DX stations upload to it and your confirmed contacts just accumulate over time without you having to do anything.

eQSL is a separate thing, totally different organization, and it works for some awards but not DXCC. Some people use both. The physical QSL card through the bureau is the old school way — your national society (ARRL if you're in the US) runs a bureau where you can send and receive cards for cheap, but it's slow, like sometimes months or even a year or more before you get cards back. Direct mail is faster but you have to put a couple dollars or a SAE in the envelope for return postage and it adds up.

For your Japan contact, id just upload to LoTW and see if he confirms there, that's probably your easiest path. Congrats on the DX by the way, JA on 20m is a great first one.

yeah the bureau confused me too when i first heard it. basically instead of mailing your QSL card directly to every station you worked, you send a big batch to your national bureau and they sort them and forward them on to the destination country's bureau, and then whoever you worked picks them up from their end. saves a ton on postage especially for rare DX. downside like the other guy said is it takes forever.

i mostly just use LoTW now for everything and only send physical cards when someone specifically requests one or if its a really memorable contact i want a card for on the wall. some of the older ops really still love getting paper cards in the mail so i try to honor that when i can.
