Winlink through a local RMS gateway - am I doing this right?

so ive been trying to get Winlink Express set up for a few weeks now and i think its mostly working but im not 100% sure im doing things the right way. background: i have an IC-7300 connected via USB to my laptop running Windows 10, using vara HF for the modem. i can connect to a few RMS gateways no problem and send myself test messages which show up in my gmail fine.

what im confused about is the channel selection stuff. like when i open the RMS gateway list and sort by distance there's a ton of options but i dont really understand how to pick the right frequency. i've just been clicking whatever shows up at the top of the propagation list and sometimes it connects fast and sometimes it just sits there trying forever. is there some trick to this or do you just kind of feel it out over time

also curious about the message handling side of things - if im using this for emcomm scenarios do i need to do anything special to make sure messages get routed to a specific served agency or is that all handled by the Winlink system automatically once you address it right. i asked at my club meeting and got three different answers so figured id ask here

the frequency selection thing is just kind of an art form honestly. the propagation list gives you a starting point but its based on models not actual current conditions so yeah sometimes it works great and sometimes you stare at the waterfall wondering whats going on. what i do is have a few favorite gateways i know well - like i know K4xxx opens up for me on 40m in the evenings and 20m during the day - and i just manually go there instead of trusting the auto list every time. once you use vara HF for a while you start to recognize what a decent signal vs a garbage signal looks like on the waterfall and you'll get a feel for when to give up and try another freq.

on the emcomm routing question - addressing it correctly is mostly on you. if you're sending to a served agency that has a Winlink account you just use their callsign or their registered email address and the system handles routing. but for actual formal traffic to like an EOC or something your group probably has specific procedures, like some EOCs want messages sent to a shared inbox rather than an individual. definitely worth sorting out with your EC before you need it for real because finding out during an activation that your messages went to the wrong place is not a fun time

vara HF with the 7300 is a solid combo, you picked good gear to start with. one thing that helped me a lot early on was actually spinning up Winlink Express in telnet mode first just to make sure the addressing and message handling side was working before i added the RF layer into the mix. kind of separates the problems if something isnt working right.

also make sure you've got the ALC under control on the 7300 when running vara, its easy to overdrive it and get terrible throughput even when the connection looks like it should be fine. i run mine at maybe 50-60% power and watch the ALC meter stays basically pegged at zero. took me way too long to figure that out when i first set mine up
