finally got winlink sort of working but RMS gateway stuff is confusing me

so ive been messing with winlink express for a few weeks now and i finally managed to send a test message to myself through a local RMS gateway but im still not 100% sure i understand whats actually happening under the hood and i feel like im just clicking buttons without knowing why

my setup is a ic-7300 feeding into a signalink usb, running vara HF and i can see the gateway connecting and the message going out, but i have a couple things im confused about. first - when i connect to an RMS gateway, is that gateway just passing my message along to the internet and then it gets routed normally through the winlink servers? like is the gateway operator actually involved in any of this or is it fully automated once their station is set up

second thing is i tried to connect to a gateway about 180 miles out and it just never responded, i could see it was listed as active on winlink.org but nothing happened on my end. is that just propagation or is there something i should check on my side first. vara was showing a connection attempt but then timing out. i was on 40m around midday which maybe wasnt the best call

also is there any reason to prefer telnet sessions when testing vs actually going over the air, i know its not real radio but for just checking if the message routing works is it fine to use

yeah you pretty much have it right on the first question - the RMS gateway is just an automated relay, the gateway op doesnt have to do anything once its set up and connected to the internet. their winlink RMS software just sits there listening on whatever frequencies they registered and when you connect it handles the handshake, grabs your outgoing mail, pushes it up to the winlink CMS servers, and picks up anything waiting for your callsign. the gateway op might monitor it occasionally but theres no manual involvement in individual messages

the 180 mile gateway timing out on 40m at midday is almost certainly just propagation. 40 during the day is rough for that kind of skip distance, you might have been right in the skip zone where ground wave is gone but skywave isnt reliable either. try again after sunset or early morning and id bet it connects no problem. also worth checking the gateway's registered frequencies on winlink.org because sometimes they list multiple and one might work better than another given conditions

and yeah telnet is totally fine for testing message flow, thats what its there for. doesnt prove your RF path works obviously but if you just want to make sure your message formatting and account stuff is good then telnet is the way to go before you burn time troubleshooting over the air

one thing that tripped me up early on was not realizing vara HF and vara FM are separate installs and they dont share settings, so if you ever move to VHF packet or FM stuff just keep that in mind. also make sure your vara is actually registered if you want the faster connection speeds, the free version works but its throttled and on a busy gateway it can timeout before finishing a larger message

the midday 40m thing is definitely your issue for the distant gateway, what the other guy said. i usually have best luck with winlink on 40 either early morning or evening, during the day i switch to 20 for anything over maybe 100 miles
