Winlink setup - RMS gateway confusion, am i doing this wrong

so ive been trying to get Winlink going for a few weeks now and i think i finally understand most of it but the gateway side is still kind of fuzzy to me. im running Winlink Express on my laptop connected to my IC-7300 through a Signalink USB, got the sound card levels dialed in and i can actually connect to a few RMS gateways on 40m when conditions are decent. messages seem to go through fine.

what im confused about is how the RMS gateways actually work on the backend. like when i send a message through an RMS gateway, does it go from my station to the gateway operator's station and then they manually forward it, or is it all automated through the CMS servers? i was reading about the common message server and i think it connects automatically but i cant find a clear explanation of what happens when the gateway itself is down or offline. does my message just sit there or does Winlink retry somehow?

also been thinking about setting up my own RMS gateway since im in a rural area and the nearest one is like 80 miles away. running a Yaesu WIRES or no wait, wrong thing. im thinking about running a dedicated node on VHF, maybe 2m simplex. anyone done this? how much of a hassle is it to register with the Winlink system and keep it maintained? my main worry is that id set it up and then have it go down constantly without me noticing.

yeah the backend is fully automated, no gateway operators sitting there forwarding things manually. when you connect to an RMS gateway it basically acts as a relay between your Winlink Express session and the CMS servers which are up on the internet. the gateway machine runs RMS software that handles everything - it authenticates you, passes your messages to the CMS, grabs any inbound messages for your callsign, and closes the session. the gateway op just keeps the machine running and pointed at an antenna, they dont really touch individual messages at all.

if a gateway goes down mid-transfer honestly that session just fails and you reconnect through a different gateway. Winlink Express has a channel selector built in that shows you recent connection success rates for gateways near you, definitely use that to pick ones with good uptime. as for setting up your own node on 2m - ive been running one for about two years and its not bad once its going. you register through the Winlink website and they basically add your callsign and frequency to the database. the main thing is keeping the software updated and making sure your machine doesnt go to sleep or lose internet. i had mine drop offline for three weeks once because Windows update rebooted it and the RMS software didnt restart automatically, had to fix the startup task. nothing catastrophic but annoying.

one thing worth knowing - there's actually multiple ways to connect to the CMS not just through internet-linked RMS gateways. you can do Winlink over HF peer to peer too using VARA HF or Pactor if you have the modem for it, and that way you're talking directly to another ham running the software without any gateway in between. good to know if you're thinking about emcomm use cases where internet might be down. not saying the RMS route is wrong, it's fine for normal use, just useful context on how the whole system fits together.
